The Bronx County Dental Society enthusiastically invites you to participate in the Twenty-ninth anniversary of the Big Apple Dental Meeting. Early sign up is recommended for the most desirable booth space. Our attendance at the 2014 meeting was approximately 1,100. The first factor generating such interest is our unique coupon rebate program to ensure that all dentists attending the scientific sessions would visit the exhibitor floor. Every dentist who registers for a full-day paid seminar will receive a $25.00 coupon (or a $10.00 coupon for a paid half-day or evening seminar) to be used towards the purchase of goods and services at the meeting from any participating exhibitor. The coupons will be redeemed by the exhibitor at face value by the Bronx County Dental Society after the meeting. Coupon must be completely filled out and returned to BCDS within 60 days of meeting. The cost of an 8’ x 8’ booth will be $1800.00 ($2,000 for premium booths 56-65). If you would like to exhibit, please send a deposit of $900.00 to the BCDS, 3201 Grand Concourse, Bronx, New York 10468, Attention: Joy Patane. The meeting will take place on Wednesday, March 18, 2015 and Thursday, March 19, 2015. Exhibit hours are from 10:00 A.M. - 6:00 P.M. on both days. Do not close your booth before 6:00 P.M. on Wednesday or Thursday. An exhibitor lounge is provided for relaxation and refreshment. Each booth will receive 2 lunch tickets for your firms representatives. We look forward to your participation in our 2015 Big apple dental meeting. Sponsorship of our lectures is available. There will be a sign outside of the speakers lecture room and a notation in the Big Apple brochure giving credit for the sponsorship. For inclusion in the brochure, booths and sponsorship must be paid for no later than November 1, 2014.
BOOTH ASSIGNMENT All applications for space must be filed on the application form enclosed. Please make a copy for your files. The primary consideration in the assignment of space to technical exhibitors shall be in the best interest of BCDS. BCDS may at its discretion accept or reject any application for space, and reserves the right to relocate or reassign exhibit booths at any time for the overall benefit of the meeting. Space assignments will begin February 1, 2015 taking into consideration the date your request is received, amount of space requested, special needs and compatibility of exhibitors. Your company name will be included in the main brochure if the contract and payment are received by press date. Your company will also be listed on our website and published in our quarterly newsletter for one year. PAYMENT/CANCELLATION A deposit of 50% of the total exhibit space is requested at the time the application is forwarded. Checks should be made payable to BCDS, and mailed to Bronx County Dental Society, 3201 Grand Concourse, Bronx, N.Y. 10468. The balance of payment shall be due upon confirmation of exhibit space. Assignments not rejected by the exhibitor within 14 days from notification of space assignment will be considered accepted by the exhibitor and may, thereafter, be rejected or the contract canceled only with the approval of the exhibit managers. Exhibitors cancelling space between July 1, 2014 and January 31, 2015 will be charged a $850.00 processing fee. Exhibitors cancelling space after February 1, 2015 will be charged the total fee for the exhibit space. In the event the cancelled spaces are resold and the entire exhibit is sold out, a refund of 100% less $100.00 processing fee will be returned. Should any contingency prevent the holding of the Conference or Exhibition, BCDS shall not be held liable for any expenses incurred by the exhibitor. SHIPPING BCDS has made arrangements on behalf of the exhibitors with Isaacs Nationwide Expo Services, Inc. (845) 561-0832 to receive, store, and deliver exhibits directly to the exhibit area on set‑up day. Exhibitors are encouraged to ship all displays early to insure arrival at least two weeks prior to the installation date. All display material will be stored in the Nationwide Expo Services lnc. warehouse for a period of 30 days as part of the official decorator service. INSTALLATION • DISMANTLING • REMOVAL Please refer to “Exhibit Schedule” on preceding page. The installation, dismantling and removal of displays, does not require union labor and may be done by the exhibitor. SPECIAL REGULATIONS The Society reserves the right without recourse to absolutely control or prohibit any exhibit or any part of any exhibit which in its opinion is not suitable or in keeping with the character of the exhibition. This reservation concerns persons, things, conduct, printed matter, souvenirs, catalogues, etc. Advertisements not meeting the approval of BCDS must be removed upon request. Aisle space may not be used for exhibit purposes, for displays or signs or for solicitation of business. Distribution of cards, circulars, samples or exhibit material is expressly forbidden in areas outside of the exhibit hall. Exhibitors will not be permitted to use strolling advertisements. Exhibits must remain open until 6 pm. Exhibitor assumes responsibility and agrees to indemnify and defend the Bronx County Dental Society and the Hotel and their respective directors, officers, employees and agents against any claims or expenses arising out of the use of the exhibition premises. The Exhibitor understands that neither the Bronx County Dental Society nor the Sheraton Mahwah Hotel maintain insurance covering the Exhibitor's property and it is the sole responsibility of the Exhibitor to obtain such insurance. Unethical conduct or infraction of rules on the part of the exhibitor or his representatives or both will subject the exhibitor or his representatives or both to dismissal from the exhibit hall. In this event, it is agreed no refund shall be made by BCDS, and no demand for redress will be made by exhibitor or his representatives. Disregard for any rules stated here is considered just reason for BCDS to prohibit an exhibitor from attending all future BCDS activities. No merchandise may change hands! SECURITY Watchmen will be provided. However, each exhibitor must make provision to safeguard his goods from the time they are placed in his booth until they are removed by him. BCDS and the Sheraton Mahwah Hotel are not responsible for exhibitor goods. Space is leased with the understanding that BCDS and Sheraton Mahwah Hotel will act for the exhibitor and his representatives only in the capacity of agent and not as principal. Each party agrees to be responsible for their own property through insurance or self‑insurance and shall hold harmless each of the other parties for any and all damages caused by theft and those perils normally covered by a fire and extended coverage policy. These Rules and Regulations are to be construed as part of all space contracts. BCDS reserves the right to interpret them as well as to make final decisions on all points not specifically covered.
